Get your RotaReady staff data into an Airship teams account

Airship Teams x RotaReady integration now automatically syncs your staff data to your account!

Setting up the RotaReady × Airship integration will allow all your contact data to be automatically sent to Airship daily, enabling you to easily communicate with and reward staff members for things like birthdays, work anniversaries, monthly newsletters, or general ad hoc communications. Contacts will be created, updated, and removed when staff leave the business.

Fees

There are no fees from RotaReady for the integration. However, this is only available as a Booster option in Airship. Speak to your Airship Customer Success representative for more information.

Getting Started

Getting set up with RotaReady is straightforward! Contact your Airship Customer Success representative, and we’ll reach out to RotaReady for the following API details:

  • Realm ID

  • App Key

  • App Secret

We'll also request RotaReady setup web hooks (instant notifications), so we get instant updates.

Once we have these details, we’ll be able to configure the integration.

What Data Is Sent to Airship?

When the data is processed by Airship, contacts will be linked to their Primary Venue and assigned to a group.

The fields captured from the integration include:

  • First name

  • Last name

  • Mobile number

  • Email address

  • Date of birth

  • Email opt-in (always “yes” for this integration)

  • Mobile opt-in (always “yes” for this integration)

The following Dynamic Fields will also be provided for each contact:

  • Job title

  • Start date

  • Employee number

  • Primary location

  • Primary division

Viewing Your Data in Airship

Once the connector is enabled, you can view data flowing into your Airship account by navigating to Folders & Groups.

To access your Staff Groups in Airship:

  1. Go to Audiences in the main menu.

  2. Select Folders & Groups.

Contacts will be stored in groups under each relevant unit/location (based on the staff member’s Primary Location).

The Following Groups Will Be Created in Airship:

  • All contacts grouped by Job Title.

  • All contacts automatically removed from any groups that are not their current Job Title (e.g. if they change roles, only their new title will be shown).

  • All contacts grouped by Division.

  • All contacts automatically removed from any groups that are not their current Division (e.g. if they change divisions, only their new division will be shown).

By clicking into a group, you’ll see all contacts within it. You can then drill down into more details on an individual contact by selecting them.

Historic Data

Once the integration is activated, all current employee data will be pulled into Airship automatically.
