How to share the sensitive data securely

At Airship, keeping your data secure is our top priority. This guide explains what counts as sensitive information, when and how it can be shared, and the secure methods we recommend.


What is sensitive information?

Sensitive information includes (but is not limited to):

  • Any personal data of your guests that we handle on your behalf

  • Usernames and passwords for accessing systems (e.g. dashboard login details, API credentials)


When to share sensitive data

In most cases, there’s no need to send sensitive information manually. Our platform gives you secure self-service options, for example:

  • Airship REST API tokens – you can create and retrieve these directly

  • Airship data exports – you can download guest data through Airship Reports or the Audience Export feature

Sometimes, sharing is unavoidable – for example a data upload, that has more than 10k rows, needs to be uploaded by our team. In these cases, we’ll guide you through the process.


Golden rules for sharing

If you ever need to share sensitive data with us, or if we need to share with you, we always follow these rules:

  1. Authorised users only – we only share data with verified contacts on the account

  2. Never unencrypted – sensitive details are never sent in plain text email


How to share securely

1. Airship Secure Share

For an extra layer of protection, we provide Airship Secure Share - share sensitive text or files via a secure, expiring link.

If you need to send us sensitive data (such as guest data or API credentials), we’ll provide you with a secure Request link via Airship Secure Share. This works like a secure dropbox – only you can access the link, and the data is encrypted in transit. Reach out to our Support team who will share the link with you so you can send the data securely.


2. Gmail Confidential Mode

When sending sensitive information via email, we recommend using Gmail Confidential Mode:

  • Messages expire after 1 week

  • An SMS passcode is required to open the email

  • Works even if the recipient doesn’t use Gmail

However, data sent via Gmail Confidential Mode can't be copied or downloaded so use this method only when relevant or convenient.
