How to set up a Reward (the configuration part)

Here's our general guide to setting up a Reward!

Before you start

😎 Ideally, have your email saved and ready for the Reward URL to be added to it

Getting started

In the dashboard, click Rewards in the sidebar, then click the blue Create New button in the top right corner.

Step 1: The basics ✏️

This is where you give your reward a name, choose how the codes will work, and pick the style that suits your offer.

a. Reward name

Give your reward an internal name. This is just for you and your team to identify it in the dashboard. It will also appear in the email builder's Special Links list.

b. Reward code type

This controls how the voucher code is generated and how it connects to your till system. Your available options will already be set up for your account, so you'll only see what's relevant to you.

Step 2: Set the validity rules πŸ“…

Here you'll set how long guests have to use their reward and the dates you want it to be active on Airship.

Most reward styles have two things to configure: how long the code is valid for once a guest receives it, and how long the reward stays active on Airship.

Here's a quick summary of what those settings mean:

  • Code valid for (days) = how long the guest has to use the reward after receiving it

  • Start/end dates = the window during which Airship will send the reward out

For example: Set a 30 day code with a start date of 01/06/2026 and an end date of 31/12/2026, and any guest who qualifies will receive the reward between those dates and will have 30 days to use it. From 01/01/2027, the reward switches off and no new guests will receive it.

Here's what we'd recommend for each reward style:

πŸŽ‚ Birthday, Welcome or Anniversary

Code valid for (days): Keep this short, 30 or 60 days works well. Reward start date: Set to today's date in readiness for it going live. Reward end date: Set well into the future, e.g. 2035, so it keeps running year after year. You can always edit this later if you want to switch it off.

🎯 Campaign

Code valid for (days): Around 30 days is usually plenty for a one-off promotion. Reward start date: Set to your campaign launch date. Reward end date: Set to when your campaign finishes.

🌱 Evergreen

Reward start date: Set to when you want the reward to go live. Reward end date: Set to when you want it to stop being available to guests.

πŸ” Recurring

Code valid for (days): 7 days works well for most recurring rewards, or set to 365 if you'd like guests to have longer. Assigned code expiry days: 7 days is recommended. Days until reassignation: Choose how often a new code is sent, e.g. every 7 days. Reward start date: Set to your launch date. Reward end date: Set to when the recurring reward should stop.

For Exclude Units, leave this blank if you want the reward to be available across all your venues. If you'd like to limit it to specific locations, select the units to exclude here.

Click Confirm to move on! βœ…


Step 3: Display πŸ“±

This is where you make your reward look great and set up what your guests will actually see on their rewards page.

πŸ’¬ Apple and Google Wallet needs to be switched on by the Airship team first. Email success@airship.co.uk to get it enabled. Note this option is not available for rewards that use a countdown timer.

⚠️ Important: Once you confirm this step, you can no longer edit the basic settings like code type or reward style. Double check everything looks good before hitting Confirm!

When you're ready click Confirm to move on! βœ…


Step 4: Generate or upload your codes πŸ”‘

Almost there! Now it's time to get your codes into the system so your reward is ready to send.

What you see here depends on the code type you chose in Step 1.

Generating codes

Select how many codes you need and add a prefix if required. You can generate up to 10,000 at a time and run multiple batches if you need more.

lick Generate Codes and a confirmation pop up will appear.

Click Continue to move to the final step.

You'll also have the option to download your codes as a CSV file to your desktop. πŸ“₯

Uploading your own codes

Upload a CSV file with a single column, following this format exactly:

Step 5: You're almost there! πŸŽ‰

The final step is where you get your Reward URL to drop into your emails.

Click the green Done button at the bottom of the reward config and a pop up will appear saying "You're all set!"

From here you can:

  • πŸ“‹ Copy the Reward URL to paste into your email. Don't worry if you miss it here, you can always grab it later from the Rewards section of the dashboard

  • πŸ“§ Click "Head to email builder" to go straight to your Saved Emails and add the reward link in
